1 VBS Fllw Up Cnference Plan 1 VBS FOLLOW UP CONFERENCE PLAN (1 HOUR) Purpse Statement This teaching plan is designed t intrduce VBS leaders t effective strategies fr fllwing up with individuals and families after VBS. Needed Resurces VBS 2019 Administrative Guide VBS 2019 Adult Starter Kit VBS 2019 Parent Guide VBS 2019 Tableclths Item 1: Handut Cpy 1 per cnferee. Rm Setup Arrange chairs in a semi-circle facing the fcal wall. Place a cpy f Item 1: Handut in each chair. Cver a table with a VBS 2019 Tableclth and display the curriculum items n the table. Decrate the rm with In the Wild TM decratins. Teaching Steps 1. Welcme and Intr Game (2 minutes) Welcme cnferees. Mentin that fllw up is ne f the mst challenging aspects f Vacatin Bible Schl, but it the mst imprtant aspect in trying t cntinue t reach families and kids wh attended yur VBS. Explain that tday yu will walk cnferees thrugh sme steps t help make fllw up PAWS-ible. Mentin that ther tips and strategies fr fllw up are included in the Administrative Guide (beginning n page 50). Invite cnferees t take ntes n the handut as desired. 2. Zm In Strategy: Begin Nw (5 minutes) Dn t wait until the end f VBS a successful fllw-up strategy begins nw. Evaluate wh yu are as a church. Identify and describe the typical family that attends yur church. Identify and describe the typical family that has recently vised ur church. Describe yur church in 10 wrds r less. List the things yur church currently ffers. Evaluate and start thinking f ways yu can fllw up. Enlist a separate team t help see fllw up thrugh frm beginning t the end. Lead the fllw up team t cme up with a plan fr hw yur church will fllw up n families. Set attainable gals. Determine the dates when fllw up will be implemented. Train yur greeters fr VBS. Train them hw t greet families in the parking lt. Train them hw t shw families where t g when they cme n campus. 2. Discver Strategy (10 minutes) Fllw up begins befre VBS even starts. Think thrugh yur registratin prcess. What changes need t be implemented t maximize the effectiveness f yur fllw-up strategy?

Nte that LifeWay s KidEvent Pr is a great nline event management tl fr managing nline registratin fr bth vlunteers and kids. Be sure t cllect detailed infrmatin n the VBS registratin frms. At a minimum, try t cllect the fllwing infrmatin: Des the family attend a lcal church? Addresses, s, and cell phne numbers Parents /guardians names Child s name Schl child attends Hst an pen huse befre VBS begins. Invite parents t cme and see where the kids will be during the week. Send welcme letters befre VBS t each family, letting them knw hw excited the church is t have their child attend VBS. Give lgistics n where families can enter yur campus and where t take children. Send security passes alng with the welcme letter and explain in the letter hw drp ff and pick up will be handled. Invite parents t attend yur wrship services and Sunday Schl prir t VBS. 3. Encunter Strategy (10 minutes) Begin n Day 1 f VBS: Fllw up has already started when families enter yur campus. Kids and families are experiencing hw t get arund yur church campus. First impressins n hw welcming yur church is will either help r hurt the fllw up prcess. Lead teachers/ vlunteers t be ready t greet families as they drp ff their kids. Train vlunteers t immediately begin learning names and talking t families when they pick up r drp kids ff. During the week f VBS: Send ut a pst card r letter thanking families fr attending VBS. Lead yur registratin team t wrk n these ntes/letter during the week f VBS. After each sessin, send hme a newsletter, nte, r Field Kit (learner piece) that tells parents what their kids did/learned that day and what is in stre fr the rest f the week. Set up a cffee bar r dessert bar fr parents t stp by and enjy either after drpping ff kids r befre picking them up. Assign vlunteers in this area t talk t these families and get t knw them. Offer a parenting class r adult Bible study during the week f VBS. This can be ffered ne day r multiple days. (NOTE: Call attentin t the parenting cnference plan utline n the CD-ROM included in the Adult VBS Starter Kit. Mentin that Adult VBS materials ffer bth parenting seminars and Bible studies all in ne package.) Hst a VBS Celebratin Event. Whether in the middle r at the end f VBS, invite parents t attend a VBS celebratin t see what their kids have dne and learned during the week. Schedule a meet-and-greet time with the parents at this event. 4. Fcus Strategy: After VBS (20 minutes)

3 VBS Fllw Up Cnference Plan 3 Try the fllwing ideas fr pst-vbs fllw-up strategies: Plan fr a Cnnectin Blitz (within 48 hurs f the clse f VBS) during which time the fllw up team will have sme kind f cntact with families wh visited: Letter/pstcard Phne call Enlist VBS teachers, greeters, Sunday Schl leaders, r registratin team member t help make cntacts. Designate the Sunday after VBS as VBS Sunday. Invite the kids t sing a VBS sng during a wrship service. Prvide lunch fr families and invite them t cme back and participate in VBS Sunday. Prvide a small gift fr each family wh attends n that Sunday. Drp & Run: The Sunday after VBS. Prepare sme type f gdy bag filled with a special gift and infrmatin frm yur church. Drp in r attach the names f a family wh visited during VBS t each bag, alng with an address and/r phne number. Encurage church members t pick up a bag after a wrship service and stp by the guest s hme t deliver the gift. Letter frm the Pastr Mail at the beginning f the week after VBS. Hst a New Believer s Class fr kids wh made prfessins f faith during VBS. Lead parents t attend the class with them. Prvide devtinal materials t families wh attended VBS. Shw the VBS 2019 Parent Guide. Mentin that the guide is a wnderful resurce fr bth devtins and fun family activities fr families t d tgether at hme. Invite parents t attend a Sunday Schl class r small grup. Offer special discipleship studies fr the parents. Hst a Hw t Becme a Member class r lunchen after church. Encurage parents t pt in t regular cmmunicatin that allws yu t cntinue the cnnectin begun with a family during VBS. Sme ideas include: Add the family t the list t receive a church newsletter. Add the family t all scial media deliveries ( s, texting). Invite families t upcming events, Sunday Schl, and wrship n a regular basis nt just nce immediately after VBS. Hld a VBS Reunin event later in the summer r early fall. This culd be a back t schl party, summer splash party, r any ther Back t the Wild event. Lead yur fllw up team t meet mnthly t see which families have attended, t evaluate their effrts and results, and t make sure pen cmmunicatin with families is n-ging. 5.
