2 1. ccess apital Replacement Tool There are two ways to navigate to the apital Replacement Tool (RT).. fter you log in to the RRO Home page, you can use the Quick Link to directly access the apital Replacement Tool, or. From the Home page, click on the Update Data tab at the top of the page or the Update Data graphic in the middle of the page. This will bring you to the Update Data page.. lick on the apital Replacement Tool to access the RT Home page.

3 2. Navigate to ulk uy Requests - Home Page. Select the ulk uy Requests Tab to navigate to the ulk uy Requests Home page. The ulk uy Request Home Page lists the facility order forms per Garrison(s) to which you have access.. The symbol expands / collapses the facility order forms available per Garrison.

4 3. Navigate ulk uy Requests - Order Form Layout. The Garrison Panel identifies the current ulk uy ycle, the ID and Garrison, the ID ranking for this Garrison order package, and the ction/status indicator.. The symbol expands or collapses the Garrison Facility Order forms.. ll equipment is listed in the worksheet for the specific ulk uy ycle (ardio or Strength). E D. Quantity Eligible is the number of pieces of equipment that qualifies for replacement according to the equipment Lifecycle Rating. *See RT-S Quick Guide for further information. D F E. Specify the required Quantity and Priority from each user level in the Garrison approval workflow. There are three user request levels - Program Manager, RD, and HQ. Note: The ID level only prioritizes the Garrisons within the ID. They do not input Quantity and Priority at a Facility or equipment level. F. justification is required for any equipment requests greater than the Quantity Eligible.

5 4. Navigate ulk uy Requests Order Form (ommunity Recreation Director). Expand the Garrison panel to see the facility order forms. Multi-Garrison RDs, will see all relevant Garrison panels.. If not completed at the PM level, select Edit to complete the PO and Delivery Instructions per facility, this information is verified upon submit.

6 5. Navigate ulk uy Requests Order Form Return Worksheet (ommunity Recreation Director). The RD may return order form to PM, if rework is required. To return a facility order form to the PM, select the Return link in the header of the facility worksheet.. Upon selecting Return, provide a required justification in the pop-up dialog box.. Upon adding the justification, select the Return button to return to the RD or ancel to cancel the action. D. Successfully returned worksheets will display the status in the header Returned to Program Manager/Staff. E. RD will still have the Requests column enabled while worksheet is at PM level. When the returned order forms are completed, the PMs updated request will appear in the Garrison package. - Note: Returning a facility worksheet does not prevent the RD from submitting the Garrison Order Package as a whole to the ID level. 7 6. Navigate ulk uy Requests Order Form Request and Prioritization (ommunity Recreation Director). The PM quantity requested will automatically populate in the RD Quantity column. RDs may refer to the PM s requests to complete the order or overwrite this quantity if a different need is determined. Enter a required justification if the requested quantity is greater than the quantity eligible.. t the RD level, each Garrison is granted up to three facility/equipment prioritizations (,, and with indicating the highest priority need at the facility). priority must be assigned to identify the top three equipment needs per facility. - If there is only one facility only,, & will be available. If two facilities,,, D, E, & F and so on.. Users may assign prioritizations across all eligible Garrison facilities - For Example:,,, and D may be assigned to Facility I, while E & F may be assigned to Facility II. Or all,,,d,e & F assigned to Facility I if it is a higher priority.

8 7. Navigate ulk uy Requests Order Form Save and Submit (ommunity Recreation Director). Select Save Garrison to save the current information and/or return to finish the worksheet another time.. Upon completion of all facility order forms, select Submit link in the ction or Status column, to submit the entire Garrison package to the ID level. - ll facilities at a Garrison are submitted as a package to the ID level. - ll facility worksheets, complete or incomplete, will be included in the Garrison order package. - Selecting Submit automatically saves any changes to all facility worksheets, before submission to the next level.. Final submittal message Submitted to ID Staff appears in Garrison panel and facility worksheet.

9 8. Navigate ulk uy Requests Order Form Submitted View (ommunity Recreation Director). Upon submittal the Status message will indicate the form is submitted.. read-only view of the requested equipment is displayed.. The PM and RD requests appear for informational purposes.

10 9. ulk uy Rules and Warning Messages In the ulk uy order Form, you may see red warning messages at the top of the worksheet, notifying you to complete necessary fields in the form before submitting.. Requesting an equipment quantity greater than the quantity eligible requires justification.. The justification field will be highlighted in red.. Prioritizations for all equipment requested must be in consecutive order, a priority level cannot be skipped; for example, two equipment pieces requested must be ranked &, rather than &. Priority Rank Order (zoomed view)

11 10. ulk uy Rules and Warning Messages (continued) D. Delivery Instructions and PO Information is required for all facility order Forms; ID level cannot submit a Garrison Package with missing information. The Program Manager or RD can enter the required Information. D
