1 Abbotsford Agrifair & FRASER VALLEY POULTRY FANCIERS ASSOCIATION Fraser Valley Poultry Fanciers Association is pleased to participate once again at Abbotsford Agrifair. Entries can be submitted by mail, fax, or on-line. Entry Forms are available through the club website and can be completed in Word or the form can be printed and completed by hand. Entry Fee - $2.00 per bird Payouts will be made only in Classes in which there are more than 5 entries in a Class. Every effort will be made to pay exhibitors as soon after judging results are in as possible but time must be allowed for verification and tabulation of results. 2 Preparing the Entry Form for a Show There are a couple of major areas that have to be addressed by each of us, as exhibitors, when we decided to enter a Poultry Show. The first is selecting the birds you will enter and getting them ready for exhibition. The second is in properly communicating your entries to the Convenor or Show Secretary. This will focus on completing the Entry Form. The Fraser Valley Poultry Fanciers Association s show paperwork is done by computer. Having a computer system is a great time saver for the person who receives the entries and does the input. However a lot of delays in completing the input can occur if the information for each entry is not complete or if the abbreviations commonly used are substituted by terms that are unclear. On our Website we have included the Entry Form in both PDF format for those who prefer to print it off and complete by hand. Those entries must be either mailed or faxed to the Convenor. The other format we use is Word. Again, this Entry Form in word can be printed and hand written or, it can be completed in Word, by tabbing (do not use the enter key) through the Fields (gray areas) and typing the information into the form. With this method you can save the completed document to your hard drive and send as an attachment by . Here s what you should do to complete the form: Note the Entry Date Deadline, it s in red and all Entries must be received by that date. The days in between the deadline and the show allows for data input and follow up in case there are questions. If for some reason you can t get the entry in on time, please contact the Convenor so he or she will know to expect it late. 1) Provide your Exhibitor Information in full, including phone number so follow up calls can be made quickly. 2) If the exhibitor is a Junior, be sure to mark the check box. 3) Your entry is not complete unless you have indicated whether your bird(s) are Large Fowl or Bantam if your entry is a chicken; the Breed is indicated, the Variety, and if the bird is not a recognized variety that it be listed as AOV (any other variety); the Sex of the bird is inserted; and wherever possible the Leg band number is provided. In addition, some breeds are Bearded or Non-Bearded, Rose Comb or Single Comb -this information must be provided in the box with the Variety description. 4) If you look at the left column of the form you ll see that each line is numbered. That number helps in two ways when you complete your form, if you haven t skipped and lines, you only have to look at the last number and you have your total number for entries which goes in the first box on the ENTRY FEE per BIRD line to be used in your fee calculation. If you don t skip lines, you also help the person who is doing the data input. Here s an example of a completed form.

3 The following are the abbreviations for Sex, which are used for all of the different categories of poultry that can be shown. There are two designations if the birds are over 1 year of age. There are also two used if the birds are under 1 year of age: Over 1 year Under 1 year Over 1 year Under 1 year Chickens & Guinea Fowl C cock K cockerel H hen P pullet Turkeys OT old tom YT young tom OH old hen YH young hen Ducks ODR old drake YDR young drake ODU old duck YDU young duck Geese OGR old gander YGR young gander OG old goose YG young goose Each exhibitor should know the Breed, Variety, Sex and Age of his or her entries. However, if there are questions, don t hesitate to contact the Convenor or one of the Club s Executives. A copy of the APA Standard of Perfection or the Bantam Standard will be a great help to anyone raising a new breed. The APA SOP includes Large Fowl and Bantam Chickens, Ducks, Geese, Turkeys and Guinea Fowl. The Bantam Standard covers Bantam Chickens and Bantam Ducks. A couple of important rules when exhibiting: 1) Always coop your birds in at the designated time, at least 1 hour before judging is scheduled to begin. 2) Be sure to keep a copy of the Entry Form you submitted so you don t have to rely on memory when packing your birds for the show. 3) Never arrive at the Show Room with birds that were not entered- unless pre-approved by the Convenor. There will likely be no space for unexpected, extra birds. There will certainly be no coop space in the section for their respective Breed and Variety. There will also be no Coop Cards prepared and the birds will not be listed on the Judging Sheets. Keep in mind we re running a computer system. 4) When cooping in, if you notice a problem, either with the description on the Coop Card, or that you ve inadvertently brought wrong bird, do not change the Coop Card. Advise the Convenor of the issue, so it can be resolved. If you change information on the Coop Card, and if the changes don t make it into the computer, and if it s a winning bird, the wrong bird or description will come up on the Awards List. Also writing on the Coop Card is considered tampering and is not allowed.

4 5) Be respectful of the Judge while he or she is judging. DO NOT TALK TO THE JUDGE WHILE JUDGING IS TAKING PLACE. Wait until judging is completed to ask questions. Judges are happy to discuss your birds and their placements after the decisions are made. 6) If you want to dispute a judge s decision, there is a formal process for that. Take your concern to the Convenor so the process can be started. Arguing with the Judge and the Show Staff will not be tolerated. 7) Familiarize yourself with the Show Rules before the show begins. Birds may be put up for sale after judging. A card indicating that the birds in the pen are for sale must be fastened to the coop containing contact information and price. Once birds are sold, the card must be marked SOLD to avoid mix ups. Birds have been re-sold in the past! If an exhibitor wishes to sell birds that are not exhibited, that can be arranged with the Convenor only after judging is complete and only if space is available. The Show Staff accepts no responsibility for any sale birds, nor for the Cash if the seller is not present.

5 POULTRY SHOW RULES Show Rules- All exhibitors must read & understand these rules. 1. No exhibitor shall knowingly enter a bird recently vaccinated or even exposed to any communicable disease. All birds entering the building must be clean and healthy or they will be rejected without refund of fees. 2. This show is sanctioned by the American Poultry Association (APA) and the American Bantam Association (ABA). 3. No exhibitor shall fake, show borrowed birds, or engage in flagrant misconduct. Exhibitors caught will be stripped of prizes, awards and points awarded in all classes at the show. 4. Any complaints must be made in writing to the Convenor as soon as possible with a $25.00 deposit. The show committee, made up of the Convenor, two others and the APA judge, shall make the final decision. If the panel finds in favour of the complaint, the $25.00 will be returned to the complainant, if not, it will be forfeited to the F.V.P.F.A. 5. All entry fees are payable to the F.V.P.F.A. Please do not send cash in the mail. Please send your form completed to the address indicated on it. 6. Entry forms must be received by the convenor by July 18, 2014, 4:00pm. 7. Entry fees are $2.00 per bird. 8. All birds must have been owned by the exhibitor for 30 days prior to the first day of the show. Junior entries must be cared for by the exhibiting junior. 9. Coop-in will occur between 6:00-8:00pm, Thursday July 31, Judging will begin at 10:00 sharp on Friday August 1, Coop out will begin no sooner than 6:00pm, Monday August 4 th, Birds entered and not shown will forfeit their entry fees to the FVPFA. Substitutions of another breed will be treated as additional entries and subject to additional fees. Absolutely no one is allowed to mark coop cards without permission of the Convenor. 12. Absolutely no one is to handle any exhibit but their own, except show management & judges. Rows will be closed during judging and may only be entered by clerks, judges and show management. Exhibitors inside a closed row will be considered tampering and treated as cheating. 13. All eggs laid during the show will be destroyed. 14. Any bird entered as a young bird (eg. Cockerel or Pullet), must be less than 1 year old at the time of the show. Any birds over 1 year old are considered mature and must be entered as Cock or Hen. 15. The latest issue of the APA Standard of Perfection will be the guide used by judges for awarding prizes and classifying entries. Other comparable standards will be used for respective fowl. 16. Birds entered by junior exhibitors will compete in the open show in all classes. 17. The show committee, on behalf of the FVPFA, will take all precautions necessary to ensure the safety and wellbeing of entries, but in no way will be liable for death, injury or theft of same. 18. Any matter not provided for in these rules or the rules for APA and ABA sanctioned shows shall be at the discretion of the show committee, their decision shall be final.
