Page 3 Bulletin Board Newsletter April 15, 2011 SUBMITTING EXPENSES TO THE BCOA TREASURER Please note per BCOA Ballot 2004 48, published in January 2005 Bulletin Board: BCOA members incurring expenses covering BCOA budgeted items during the fiscal year shall submit invoices to the Treasurer on or before March 1 st of the next year to be eligible for reimbursement. Expenditures incurred by members that are not covered by the Budget shall require Board approval. These bills shall be submitted to the Treasurer on or before February 1 st of the next year. Committee Chairs shall be responsible for notifying committee members to submit receipts for expenses within this time frame. Jones, Ketz, Kirk, Stargell, Webb WITHHELD: Siekert BCOA Roster Guidelines (Last revised 01.03.2011by Heather Ervin & Pamela Geoffroy) DEADLINES (Assuming membership & advertising fees due by February 1, with a grace period to March 1) Treasurer should submit a full spreadsheet of current members including all renewal information to the Roster Editors as soon as possible following the February 1 deadline. o These members are guaranteed inclusion in the Roster Treasurer should submit a follow-up spreadsheet that includes any members paid by the March 1 grace period. o These members will be included in the Roster if time permits. President will submit a current list of Lifetime Members, Board of Directors (includes officers) and BCOA Standing Committees (including talliers) to the Roster Editors by March 1. BCOA Rescue Liaison will submit a current list of state rescue contacts to the Roster Editors by March 1. All advertising material MUST be submitted to the Roster Editor no later than March 1. This includes ALL photos & verbiage and any camera ready ads. o The treasurer must show that any ads received by the Roster Editors have already been paid for. o Any ad submitted after the March 1 date is NOT guaranteed to appear in the Roster and any money paid for such ads will be forfeit to the BCOA. The goal is for the Roster to be submitted to the printer by April 1, and mailed no later than April 15. ADVERTISING Ad cost is determined by the BCOA Board of Directors For camera ready ads: o They need to be 4.5 x 7 in size in either jpg or tiff format at 300 dpi. o NO Word documents, NO Publisher documents. Word or Publisher is great for some things but NOT for quality print publications. o Camera ready ads are assumed to be pre-proofed by the submitter, and will not be presented to the advertiser for proofing. For ads to be designed by the Roster Editors: o Photos sent (electronically) to the Roster Editors should be at least 4x6 in size jpg or tiff format at 300 dpi. o Members can also mail a hard copy photo to the Roster Editors to be scanned. o Text, particular layout, and/or a mock up of what they want should also be sent to the Roster Editors o ALL ads designed by the Roster Editors will be presented to the advertiser for proofing prior to being printed in the Roster See DEADLINES above for submission deadlines.

Any dogs featured in the cover artwork will NOT represent dogs currently being shown or campaigned. Artist must sign a release form giving permission for their artwork to be used on the Roster. Title of artwork and artist s name will appear on inside of the Roster. Roster Editors request that they be allowed to choose color vs. black/white as long as they stay within budgetary constraints. Proof is returned to the Editors and the Editorial Review Committee (ERC) as a PDF file for approval prior to printing. o Proof must be approved within 48 hours by Editors and ERC. Once the Roster is printed, postage is calculated. o Roster Editor requests check from Treasurer for postage amount o ADDRESSES will NOT be listed as member OR current resident. o Once printer receives postage check, Rosters are mailed Printer bills BCOA for costs of printing and handling

Page 17 Bulletin Board Newsletter April 15, 2011 Unsung Hero Award CRITERIA USED IN SELECTING THE UNSUNG HERO The Unsung Hero Award recognizes that BCOA member who has made a positive contribution that would not ordinarily be acknowledged by other types of formal awards. CRITERIA FOR THE AWARD: The candidate nominated for this award shall have demonstrated one or more of the following characteristics. Displaying extraordinary effort to advance the purpose of the BCOA. Unselfishly sharing his/her time and expense to promote events, activities, and materials in support of the BCOA. Consistently and willingly extending a helping hand. HOW NOMINATIONS ARE SUBMITTED: Submitters must provide the BCOA Board with the full name of the nominee and a statement of 250 words describing why this person should be considered for the award. HOW A MEMBER CAN BE NOMINATED: Any BCOA Board member, a BCOA affiliated club, or a group of current BCOA members. WHEN AND HOW AN UNSUNG HERO IS CHOSEN: During the 120 days previous to the BCOA annual meeting for the current year, the BCOA Board will accept nominations. The BCOA Board will review the nominations and select a recipient for the award. The BCOA Board will make its decision at least 45 days prior to the BCOA Annual Meeting to allow time for the award to be prepared. The name of the winner will remain undisclosed until the presentation at the Annual Meeting. FORM OF RECOGNITION: The winner of the Unsung Hero Award shall receive a suitable award, including the recipient s name and year received, at the BCOA Annual Meeting.
