1 2017 Animal Science Project ID Information - May 15 Deadline--Dairy DATE: April 5, 2017 TO: FROM: RE: Minnesota 4-H Animal Science Project Members Dairy Sara Budde, Stearns County 4-H Program Coordinator IMPORTANT - Animal Identification Process Thank you for enrolling in a 4-H animal science project. We hope you find this project both challenging and rewarding. This letter outlines the online animal identification process. Minnesota 4-H uses its online enrollment system, 4HOnline, to record all animal identifications and ownership data. Online animal identification reduces inaccuracies and inefficiencies that were a part of our past paper system. More information and a 4HOnline user guide can be found at The process that will be followed in 2017 is as follows: 1. 4-H Family completes the ID worksheet (enclosed) for all NEW project animals. All dairy animals must be identified with an official form of identification: Official Breed Assn. Ear Tag, Official Breed Assn. tattoo, State 4-H ear tag (available from Extension Office), USDA tag (7 or digit), Copy of the Breed Assn. ID paper and/or photo (if exhibits distinct markings). Registered animals with pending breed association registration information by May 15 must update this information as soon as registration numbers are received. If you enter as pending, you will need to provide updated information to your local Extension Office to update prior to your County Fair. If you need a MN 4-H eartag: a. 4-H Family calls ahead to reserve tags (number of tags required) and tagger (if needed) from the County Extension office. (There is a $20 deposit fee for tagger, which will be refunded when tagger is returned.) b. 4-H Family picks up MN 4-H ear tags from the County Extension Office. c. 4-H Family puts tag in animal s ear by May 15 and completes the information worksheet d. Family returns ALL unused and/or damaged eartags to their extension office H Family self-enters information for NEW project animals into 4HOnline and prints entry report for personal record. If an animal is leased, the lease agreement must also be scanned and uploaded in 4HOnline (bring hard copy to County Extension Office by May 15 if unable to scan). The lease form is available at If using a photo as an official form of identification (because the animal has distinct markings), you will upload the.jpg file of the photo in 4HOnline. 3. Existing project animals that are being carried over from last year to this project year must be re-activated by May 15. Instructions can be found in the document Animal ID Data Entry by Families, page 5, at Dairy animal leases must also be renewed annually by May 15. Download existing lease, renew and bring to your local extension office no later than May 15 so they can upload it. You will not be able to upload the renewed lease. NOTE: Dairy animals can be viewed but not edited because of the first freshening rule. If changes are needed to a dairy animal (including changes to the associated exhibitor/member) contact your local Extension Office Regents of the University of Minnesota. All rights reserved. University of Minnesota Extension is an equal opportunity educator and employer. In accordance with the Americans with Disabilities Act, this material is available in alternative formats upon request. Direct requests to the Extension Store at Printed on recycled and recyclable paper with at least 10 percent postconsumer waste material.
2 NOTE: Animals need to be identified by May 15. If unable to self-enter, hard copy submissions to the county Extension office must be received by close of business 4:30 p.m. on May 15, or if mailed, be postmarked NO LATER than May 15, If you are self-entering, data entry into 4HOline, must be completed by 11:59 pm, May 15, 2017; you will not be able complete identification after that point. If your family cannot self-enter the ID information: 4-H Family brings in or mails completed ID worksheet and other required items, including signature(s), to County Extension office, on or before close of business on May 15. This ID worksheet will be kept on file in the Extension office. Within one week, Support Staff or designated volunteer enters info online into your family s 4HOnline account. After that, your family may view the information in 4HOnline to check for accuracy. The user guide, Reviewing and Printing Animal ID Data, is available at to walk you through the process. The County Extension Office must be notified of any discrepancies by Friday, May 26, Families who cannot self-enter but have existing dairy project animals from previous years, are responsible to contact their local extension office staff to re-activate project animals ID ed last year. If an existing animal was leased, obtain a copy of the original lease, renew with leasor and return to your local extension office no later than May 15. Online ID ing (4HOnline) user assistance and support A user guide is available at For assistance with the online ID process, contact Sara Budde at budde016@umn.edu or In addition, an ID helpline will be available May 13-15: o Saturday, May 13-1:00-8:00 p.m o Sunday, May 14-3:00 p.m. - 8:00 p.m o Monday, May 15-4:30-11:30 p.m On rare occasions, 4-H animals will lose the official ear tags used to identify project animals (MN Board of Animal Health, Breed Association, Minnesota 4-H ear tags). If this occurs, you will need to contact Sara immediately at so that the tag can be verified and replaced. Do not wait until county fair if this occurs. Two additional pieces of project information are included in this mailing for your information: 2017 Animal Science Identification Requirements for Minnesota 4-H details specific dates and requirements unique to each animal science project area Dairy Information Sheet compiled by the 4-H State Fair Dairy Committee and includes processes, procedures and information unique to the dairy project at the Minnesota State Fair. Livestock Quality Assurance & Ethics: Minnesota 4-H supports livestock quality assurance and animal science ethics. The State policy is that youth participating in the State Fair, as a livestock exhibitor, must have completed their age appropriate Level of Livestock Quality Assurance and Ethics (LQA&E) training. 4-Hers certified in the Beef and/or Pork Quality Assurance must also take the Ethics portion of the 4-H training. Certification is good for three fair seasons. Additional information concerning any LQA&E training in our area will be listed in upcoming 4-H newsletters or can be found at Stearns County s LQA&E date is Saturday, April 22 nd. Register by April 17 th at: If you are unable to attend the training in Stearns County, you will need to complete the Quality Assurance & Ethics Training in another county. 5 2017 Dairy Information Sheet Prepared by the 4-H State Fair Dairy Show Committee and the Center for 4-H Youth Development This information sheet gives details on the rules for this year s Minnesota State Fair 4-H Dairy Show. Although some counties may follow slightly different guidelines, these rules will apply at the state level. OWNERSHIP REQUIREMENTS Ownership Requirements for All Animal Science Projects are uniform for Beef, Cats/Pets, Dairy, Dairy Goat, Dog, Horse, Lama, Meat Goat, Poultry, Rabbit, Sheep, and Swine. Animals must be owned solely by the 4-Her or the 4-Her s family. The family includes the 4-Her s parents/guardians and siblings living together as a family unit. The definition of family includes an extended family where the animal may be owned by grandparents as long as the 4-Her s parents are actively involved with and working on the farm. Animals owned in partnership with non-family members (as defined above) must be leased and follow guidelines within the lease agreement. Lease agreements must be submitted by May 15 with 4HOnline data. Market animals (with the exception of prospect calves) cannot be leased. OWNERSHIP CLARIFICATIONS 2017 With the Online ID process, 4-H families are no longer able to identify animals as a family group. They might, for example, have identified a number of animals as being owned by the John Doe Family. Under the new Online ID process, families will need to enter each animal in one of 4-H member s profiles. A good rule of thumb might be to break all animals to be ID ed up such that each family member gets about the same number of animals ID ed in their name. For example, if the John Doe Family is ID ing 12 barrows and there are three siblings in the John Doe Family, you might consider putting 4 barrows in each sibling s name. It is also a good practice to put at least one animal under each sibling. The determination of which sibling exhibits which animal at the County Fair can then be delayed until the ID checkpoint at County Fair. It is at the County Fair ID checkpoint for each species that animals must be declared by a specific sibling and cannot be switched to another sibling after that. The same animal cannot be identified by more than one 4-H family unit. Let s say a livestock production operation is a partnership between two brothers both having children in 4-H. The cousins in this example must identify different animals. They might identify several as the John Doe Family and several others as the Jim Doe Family. But the same animals CANNOT be identified by both families. Let s say a similar operation is owned by two unrelated partners. In this case the same philosophy would apply. Each family may identify any number of animals but NO animals can be identified by both families. The exception to this rule is in Horse, Dog and Lama where it is permitted for animals to be ID'ed by two 4-Hers, but with restrictions described elsewhere in the Species Information Sheet. For complete 2017 exhibition entry requirements and acceptable official ID, visit this link: WATCH FOR DETAILS REGARDING APPROPRIATE DRESS CODES FOR ALL STATE FAIR LIVESTOCK SHOWS. Committees are working on details that could include a required shirt worn by all exhibitors. This is for state fair shows only and could happen as early as LEASING PROGRAM If a 4-Her cannot own their own Dairy animal, they may be leased. If an animal is leased, the MN 4-H Dairy Lease Agreement must be completed then uploaded and/or submitted to your county extension office by May 15 th with 4HOnline data An animal may be leased and exhibited in a cow class only if the 4-Her leased the same animal prior to first freshening. Assume responsibility for care and management of the leased animal when animal is in lessee possession. The leased animal must be exhibited by the lessee at any show while the lease is in effect. Dairy Lease Agreements Must be renewed each year. This involves downloading the current lease found on 4HOnline, renewing in the appropriate box on the lease form, and reloading to 4HOnline. CLOVERBUDS Cloverbuds interested in exploring the dairy project DO NOT identify animal in 4HOnline. The year following the being a Cloverbud, youth in grade 3 are only eligible to show animals in calf, yearling and 2 year old classes. The animals in these classes must meet all MN 4-H dairy project identification requirements. BIRTHDATES Winter Calf December 1, 2016 February 28,
