2 Texel Sheep Society New Basco Interface Guide Go to and login. You will see My Page with a list of your flocks and herds: Your flocks and herds appear on this page if the address you have registered with Basco matches the address held by the society. If you can t see the flock or herd that you want to view then contact the relevant society. If your address changes then contact all the societies you have joined so that they can update the records they hold for you. View Flock List From My Page click view to see a list of sheep in your flock: Page 2 of 32

3 You will see your Flock List showing a list of sheep in your flock in fbn (Flock Book Number) order. You can change pages by clicking the page number or by clicking Next or Previous. Use the scroll bars at the right hand side of the screen or use the mouse wheel to move the pages up or down. At the top of the page you can filter the list by clicking the boxes. E.g., if you just want to view live rams then tick the males and live boxes and click show Tip: The filtering options allow you to see any sheep records owned by you, whether live, dead or sold but you can t see sheep bred by you that have been transferred into another flock. To do that you can use the Sheep Search/Breeder Search option. In Breeder Search you can list sheep bred by you that will include any sheep that you no longer own. In your flock list, the arrows beneath each column header allow you to change the order of the records. E.g., to change to date of birth (earliest date first), click on the up arrow (ascending order) beneath the date of birth column: Page 3 of 32

4 Tip: If you hover your mouse over an option then you will get help on what the option will do. E.g., if you hover the mouse over the Show option then Filter the list of animals in the flock will be displayed. View Sheep Details If you hover your mouse over a sheep in the list, the sheep will be highlighted: Click the highlighted record to view its details: Page 4 of 32

5 If you scroll down on this screen you can view the animal s progeny, back pedigree, estimated breeding values, breeder and owner details, DNA Profile result etc. To go back to the flock list select the back arrow in your browser: View Estimated Breeding Values To view EBV s for the flock select Estimated Breeding Values You can filter the animals to view estimated breeding values, e.g. this example just lists live males: Page 5 of 32

6 You can sort them into a different order, e.g. click on the down arrow (descending order) below the Index column to put them into highest index order. You can click on a record to view the sheep in more detail. To return to the flock list select Flock List View Flock Summary To see a summary of the live animals in the flock select See Summary Page 6 of 32

7 Birth Notifications (Natural and AI) From the Flock List screen click Birth Notifications to enter birth notifications: You will see the Service Sires screen If you are entering Natural or AI birth notifications then you can enter the sires of the lambs on this screen. If you need to add more sires to this page later on, you can do so from the Birth Notifications screen by selecting Service Sires. If you want to add embryo transfers then you can skip this page by selecting Embryo Transfers. Searching for rams by name on the sires screen Entering Sires used for Breeding You can enter the ram s name or Flock Book Number in the search box. You don t need to enter the whole name or number. You could just enter the Prefix part of the name, e.g. ettrick : Page 7 of 32

8 You will get a list of all sheep that contain ettrick somewhere in the name. This will produce a long list so you may need to scroll down to find the ram you want. (The list is in name order starting with blank names). Scroll down to see more matching records The search will be quicker if you know the ram s name, e.g. ettrick lion king :... or if you are not sure of the exact name just enter part of it, e.g. ettrick lion. All rams containing ettrick and lion somewhere in the name will be listed. To select the ram you want, click on it to add it to the list of rams used for the season. Page 8 of 32

9 Searching for rams by Flock Book Number on the sires screen You can search using all or part of the flock Book Number. E.g., GGH11 will list Ettrick rams born in 2011: Keep searching for and adding rams until you have entered all the rams that have sired lambs for the season. Page 9 of 32

10 Don t worry if you add a ram by mistake. You can remove it from the list by selecting: Tip: If you can t find the ram after different methods of searching then it is possible that the ram has not been registered yet. All rams should be registered by 31 st October in their year of use. Contact the Texel Office to get help on registering the ram. Page 10 of 32

11 Entering Lambing Details After adding rams, click Birth Notifications to birth notify your lambs. Don t worry if you have not added all the rams as you can go back to the Sires Screen from the Birth Notifications screen whenever you want. You will now see a list of all your ewes over one or more pages. The ewes will be listed in Flock Book Number order. The ewes will only be listed here if they are fully registered. Any updates you make will be saved automatically so there is no need to worry if you leave the page or log off and return at a later date. For example you may want to check some details regarding a ram using the sheep search facility and then return to this screen. Ewe Search If you have a large flock you may prefer to use the Ewe Search option rather than going from page to page. When you enter a flock book number into the ewe search box, the system will start searching for matching sheep. You can enter the whole flock book number to enter lambing details for a specific Page 11 of 32

12 ewe or you can enter a partial flock book number to get an extract of the ewe list. E.g. for flock TXX, if TXX14 is entered then a list of all ewes starting with TXX14 will be displayed. Help is displayed when you start entering a flock book number in the Ewe Search box: When you have finished entering lambing records (see Entering Lambing Data, below) then you should select the Refresh List option next to the flock book number box: This will display all your ewes and allow you to check everything is OK before submitting the records for invoicing. The Submit option is only available after selecting Refresh List. Entering Lambing Data Start by selecting the service sire from the drop down list: Page 12 of 32

13 Then enter the date of birth of the lambs: You can use the calendar for entering dates. Click <prev if you need to go back to a previous month. Just click on the day you want and it will be entered into the Date Lambs Born box. You can also type in the date using dd/mm/yyyy format. Next enter the Method of Service, either Natural or Artificial Insemination: If you select AI then you must enter the Service Date: You need to click on <prev to go back a few months and enter the service date. The length of gestation should be in the range days. Tip: If you are going to enter a lot of lambs with the same service date then you can speed up the process of entering dates by copying the date from the Service Date box and pasting it into the remaining Service Date boxes. (Highlight the date with the left mouse button and then click the right mouse button and select copy. To paste click in the next AI date box and click the right mouse button and select paste. Next enter the number of lambs born (this figure should include still births): You will see validation messages highlighted in red explaining the information required to complete the lambing records. These will disappear as you enter the remaining information. Page 13 of 32

14 Tip: If you start entering lambing data for the wrong ewe, just click clear ewe record to refresh the boxes and then choose the correct ewe. Enter the number of live lambs (the number that are alive at point of allocating identification). In the above example three were born but only two survived. Three lambing rows are created but the lamb identity numbers can only be completed for the live lambs. Enter the lamb s identity number. This is the last 5 digits of the Ministry Number. Leading zeros will automatically be entered, e.g. if you enter 80 then will appear in the box. The UK Ministry Number and Flock Book Number will appear beneath: As you can see from this example, the last 5 digits of the Flock Book Number are the same as the Ministry Number. Please don t enter management numbers. Page 14 of 32

15 Continue by entering the sex of the lamb and tick the boxes to indicate whether you wish to birth notify and/or register the lamb. You can only birth notify rams on this screen. See Ram Registration below. Ewe Registration If you register ewes by 15 th June in their year of birth you can take advantage of the lowest registration fee. The standard fee runs from 15 th June in the year of birth until 31 st October in the year following the year of birth. After this late fees apply. You can use the Census screen to register birth notified ewes at any time. Bye law 5. Registration Females. All females used for pedigree breeding must be fully registered prior to sales entry, private sale or breeding. In any event females must be registered before 31st October in the year following their year of birth. The registration of females is the responsibility of the breeder, not the new owner. Ram Registration You can birth notify rams but you can t register rams using the birth notifications screen. Rams do not need to be registered unless you are going to use them for breeding and you have until 31 st October in the year they are used to get this done. Unlike ewes, rams can be sold birth notified and the purchaser has to register them with the Society. If you want to register a purchased ram or a home bred ram please note that from 1 st September 2016 a Male Registration application system has been introduced: Bye law 4. Registration Males. An application for male registration along with receipt of a DNA sample by the Society is required prior to a male being used for pedigree breeding. DNA kits will be provided by the Society on request. Purchased birth notified males will only be registered to the new owner if a ram docket is submitted or a proof of purchase in the form of a sales invoice. All members that require a male to be registered are encouraged to apply and submit a DNA sample in the period 1 st July to 31 st October for male registration to ensure no increase to their fees. Provision of DNA kits and full genotyping costs will be funded by the Society. You can look up the current price for birth notifying and registering by going to the Texel website Page 15 of 32

16 Birth Weight, Lambing Ease and Foster Info. The remaining information for the lamb (Birth Weight, Lambing Ease and Foster Info.) is of benefit to the Society if completed and is essential if you are contracted directly with the Signet Sheep Breeder Service. Enter the Birth Weight in kilograms to the nearest two decimal places. Enter the Lambing Ease from the drop down list: Lambing Ease: Score the difficulty of birth of each lamb. If you normally assist all deliveries then this is based on lamb presentation and amount of effort taken to deliver the lamb. If you do not routinely assist all ewes then score whether the ewe did need assistance or not and how much assistance was required: 1. No assistance 2. Slight assistance by hand 3. Severe assistance 4. Non-surgical veterinary assistance 5. Veterinary assistance, surgery required 6. Elective Caesarean Foster Ewe: If the lamb has been fostered, tick the Foster box and then select the Foster Type from the drop down list. Select Registered if the foster ewe is a pedigree Texel. You can then enter the Foster Ewe s Flock Book Number in the box below and the system will search for it. In this example TXX13 has been entered and all matching ewes are listed below. Select the ewe from the list and it will be entered into the Foster Ewe box. Page 16 of 32

17 Select Unknown Dam for any commercial ewes. The Foster Date must then be entered. This is the date that the lamb was removed from the birth dam. Continue entering lambing details until you have entered all the lambs for the ewe. In the example below there are two live lambs and one dead lamb. The sex of the dead lamb defaults to Castrate but you can change it. You can also enter the birth weight and Lambing Ease for dead lambs. You can now enter lambs for the next ewe. All the data you have entered is automatically saved so you can log off and go back to where you left off at any time. Page 17 of 32

18 Submitting Lambing Records When you have finished entering lambing records you can either log out and add more lambing records later or you can submit the records for invoicing. If you submit part of the season s lambing records you can log back in at a later date to submit more. You can submit as many times as you want. To submit records just click on the Submit All Records button at the top or bottom of the screen. If you can t see a Submit All Records button, select Refresh List. All the lambing records on all the pages where you have made entries will be submitted unless there are errors highlighted. You will get an showing a summary of the birth notifications and registrations you have entered. You should check this to make sure that the updates you expected have been carried out. If not, go back and check the birth notification pages to see if there are any errors that need correcting. Errors will be highlighted in red. Example of an update Lambing records that have been successfully submitted will be inactive, i.e. you will not be able to make any more amendments to them. If you return to the birth notification screen you will see that records that have been successfully submitted will look like this: Page 18 of 32

19 But records that have been submitted unsuccessfully will look like this: In this example the lamb identity has already been used. To remove the error, type in the correct identity of the lamb or click clear ewe record to start again. If you need to make changes to an entry that you have submitted, e.g. if you have birth notified a lamb with the wrong sire, then call the Texel office. Page 19 of 32

20 Entering ET lambing Records From the flock list screen click Embryo Transfers You will then see the Embryo Transfer input screen: This screen allows you to enter the donor ewe and sire just once for every lamb with the same donor ewe and sire. If you change to a different donor ewe or sire then submit the records you have entered before adding any more lambs. The Add button allows you to enter multiple lambs for the same donor ewe and sire. The Submit button saves the lambing records and sends them for invoicing. The Clear Details button will remove the data in all the boxes but will not remove any lambs that have been added using the Add button. The lambs are added to a list below the Submit button and if necessary can be submitted for invoicing or individually deleted using the bin icon next to each lamb. Page 20 of 32

21 First enter the Donor Ewe. You can enter the whole or partial flock book number. In this example just the flock code and year of birth have been entered: (GGH14). You can then choose the dam from the search list. When you select the donor ewe, her details will be entered in the fields below. Next enter the Sire used. You can search by name or flock book number. In this example the name has been entered. When you select the sire, his details will be entered in the fields below. Page 21 of 32

22 If the ram has not been registered you will see the message unable to find animals. The ram must be registered before you can enter any birth notifications. Adding Embryo Lambs You can now add multiple embryo lambs for the donor ewe and sire you have entered. Start by entering the lamb identity which is the last 5 digits of the Ministry Tag Number. Do not use management numbers. Leading zeros are entered automatically, e.g. if the number is then just type in 340. Continue by entering the date of birth and sex and if applicable, the birth weight (to two decimal places) and Lambing Ease. Next enter the Recipient Ewe. There are three options: Flock Ewe a pedigree Texel ewe in your flock that already has a Basco record you can look up. Previously Used Recipient a non Texel flock ewe that you have previously added to Basco. New Recipient a non Texel flock ewe that you have not yet added to Basco. You should check the Previously Used Recipient drop down list before adding new recipients. Flock Ewe. To search for a flock ewe, type in the whole or partial flock book number in the same way as you did for the donor ewe and select it from the search list. The ewe s details will be entered in the boxes below. Page 22 of 32

23 Previously Used Recipient. To search for a non Texel flock ewe that you have previously used, click the Previously Used Recipient radio button and select the ewe from the drop down list. The Flock Book Number of recipients always starts with your Texel Flock Code and RPT which just identifies the ewe as a recipient. New Recipient. To add a new non Texel flock ewe, click the New Recipient radio button. You will see the following: Page 23 of 32

24 First select the appropriate Area Code, either 0 or 1. Then enter the UK Flock Mark of the recipient ewe. This should be a 6 digit number, e.g If you don t know the UK Flock Mark then leave this box blank (do not enter your own Flock Mark as an alternative). Next enter the Tag Number of the recipient ewe a 5 digit number. Leading zeros are entered automatically, so if the number is then enter 110. The tag number is mandatory. The recipient Date of Birth should be entered next. Click in the date of birth box and the calendar will appear. Just click on the down arrow next to the year to quickly choose the recipient s year of birth. Then select the month by clicking <Prev or >Next. Then select the date. You will see a number in the Recipient Days Since Born. This number should be greater than 200 or the date will be invalid. Finally enter the Recipient Breed if known. Add the lamb to the list of Embryo Lambs Add the lamb by selecting the button. You will see the following screen which shows that your lambing record is being processed and is being added to a list at the end of the embryo transfer screen. Page 24 of 32

25 Wait for the record to finish being processed. The embryo lamb is then added at the bottom of the embryo transfer screen: Continue adding lambs in the same way until you have added all the progeny for the same donor ewe and sire. If you have added a new recipient that you want to use again you can now select it by clicking the Previously Used Recipient radio button and by selecting the recipient from the drop down list. In this example three lambs have been added: Page 25 of 32

26 If you have added a lamb in error, e.g. with the wrong tag number, then you can delete it and add it again. At the end of each lambing row you will see a bin icon: Click the icon to delete a lamb. Submitting Embryo Lambs When you have finished adding lambs for the same donor ewe and sire then click the button to send the records for invoicing. You will see the following screen: Wait for the form to finish processing before returning to add lambs for the next donor ewe. You will see a line at the end of the form that begins with finished... and then you will be returned to the flock list. Click Embryo Transfers to add lambs for the next donor ewe. When you submit embryo lambs you will get a confirmation . Check the to ensure that the records have been added as expected. Page 26 of 32

27 Census Records From the flock list screen click Census to access your flock census. The census consists of four screens that can be submitted separately. The first screen to be displayed is the Birth Notified Sheep screen. The screen is ordered so that ewes appear first in flock book number order followed by rams. To move down the screen use the Tab Key or drag the scroll bar with the mouse. You can change the status of a sheep by clicking the radio buttons. You can change the status from retained to sold, dead or register now. Currently only ewes can be registered. To register rams please contact the Texel office. Page 27 of 32

28 If you change the status of a sheep to dead then you will need to select the disposal reason from a drop down list: If you mark a sheep dead and submit the screen without entering a disposal reason, the screen will not submit. You will see an error message underneath the record. You will need to select a disposal reason and re-submit. Do not mark a sheep sold if you are going to enter it into a pedigree sheep sale. The status should remain live until the sale has been completed. Naming Rams You can give names to rams using the Birth Notified Sheep screen. You can enter a maximum of 15 characters. The ram names must begin with the year letter as follows: 2015 = W, 2016 = Y, 2017 = A, 2018 = B, 2019 = C etc. Page 28 of 32

29 If you enter the wrong year letter you will get an error message. You should correct or remove the name before submitting the screen. In this example the name should have been entered starting with the letter Y. You will also get an error message if you enter a name that has been used in your flock before. Submitting a Census Screen When you have finished updating a screen you can select the Submit Screen button located at the top and bottom of the screen to save your records and if applicable, send the records for invoicing. Each screen submits separately, so if you have updated the Registered Sheep screen for instance, then you need to submit that screen separately. The Society requires that you check all sheep records at least once a year (by 31 st October) and remove all that are dead or sold. If you mark a sheep dead or sold in error, please contact the Texel office. Registering Ewes Use the Birth Notified Sheep screen to register ewes. Sheep should be registered by 31 st October in the year following their year of birth otherwise late fees apply. If you register by 15 th June in their year of birth you will get the lowest fee. Please check the current Society registration fees on the Texel website: On the Birth Notified Sheep screen you will see a register now button. To register ewes click the register now button for all the ewes you want to register and then click the Submit Screen button. The ewes will be registered and sent for invoicing. Certificates for registered ewes will be sent to you from the Society office. If you register a sheep in error, please contact the Texel office. After you have submitted ewes for registration you can view them on the Registered Sheep Screen. Just click on the Registered Sheep tab to view all your live registered sheep. The screen is ordered so that ewes appear first in flock book number order followed by rams. To move down the screen use the Tab Key or drag the scroll bar with the mouse. Page 29 of 32

30 As with the Birth Notified Sheep screen you can mark sheep sold or dead and submit this screen separately from the other screens. Do not mark a sheep sold if you are going to enter it into a pedigree sheep sale. The status should remain live until the sale has been completed. If you register ewes using the census then you will get a confirmation . Check the to ensure records have been updated as expected. Example Non Birth Notified Sheep If you have entered lambs on Basco without ticking the BN (Birth Notify) box, then the records will appear on this screen. You can use this screen to birth notify lambs. Tick the birth notify box for all the sheep you want to birth notify and then select the Submit Screen button. The fee charged will depend the date on which they are submitted in relation to the date of birth of the sheep. Please check the current Society birth notification fees on the Texel website: Page 30 of 32

31 Once you have birth notified the sheep they will appear on the Birth Notified Sheep screen. You can register ewes from the Birth Notified Sheep screen. If you birth notify sheep using this screen you will get a confirmation . Check the to ensure records have been updated as expected. Non Flock Recipient Ewes The Non Flock Recipient Ewes screen shows a list of non Texel ewes used for embryo transfer. You can mark these sheep sold or dead. When entering Embryo Birth Notifications you are able to select these ewes from a drop down list, so keeping this screen up to date will help make the process of entering recipient ewe information easier. 32 Reports and Downloads The following downloads are currently available from the Flock List: Census PDF Click on Census Pdf to see a list of all your live lambs in flock book number order. The report can be printed or saved. Click your browser back button to return to the flock list. EBV Excel Click on Ebv Excel to download a spreadsheet of ebv traits for your sheep. Page 32 of 32
