1 GERMAN SHEPHERD DOG CLUB OF MINNEAPOLIS AND ST. PAUL September Membership Meeting Minutes - Updated Sept. 15, 2017 Animal Inn, Lake Elmo, MN Officer Attendees: Peggy Simerson, President Sharon Todoroff, Vice President Sarah Falk, Secretary Laura Meyer, Treasurer Officers Absent: none Board Member Attendees: Denise Gilbertson Laura Herweyer Board Members Absent: Verna Kubik Meeting called to order at 8:35 p.m.; Sarah moved to dispense with the reading of the Minutes from the August Meeting. Mike Metz seconded. Motion carried. Officer s Reports President s Report (Peggy Simerson): A Big Thank You to the Rhonda & the Agility Committee for a successful September Agility Trial! Report later in the agenda. A Big Thank You for All for a Successful GSD Demo Day at the Minnesota State Fair and full coverage of the Bench at the Pet Center, sponsored by MNPBDA! Club T-shirts are one test of a new look and feel for a logo, more to come. Shepherds on a stick hand fans had club info including QR code to our site gave extras to Julie for Fun Day GSD Fun Day is tomorrow - Please come out to participate or help with the event! More details to be shared by Julie and Rhonda regarding events of the day. GSDCA National Oct at Purina Farms: There is a Regional Club parade at the National, request that anyone going to the National bring their club t-shirts and meet at 7:30 Wednesday prior to the Opening ceremony and represent our Club during the Regional Club parade. Canadian Nationals are this weekend. Good Luck to All Exhibitors! October Membership Meeting has moved from Oct. 13 to Oct. 6 due to GSDCA National and Animal Inn availability. The agenda for the October Membership Meeting will be light, as it is our lowest attended meeting and will not carry a quorum for voting (assumption based on history - there were only three members having a discussion last year).
2 Need to pull Committees together for the new Junior s Fund and Club Banquet Awards. We need volunteers to head committees and discuss parameters. Cathy McKeon, Jen Johnston and Sarah Falk volunteered to be on the Annual Banquet Awards committee. Sharon Todoroff, Bobby Moore volunteered to be on the Junior s committee. And Bobbi Smith gave a brief informational presentation on Dock Diving: o Fun activity, but Safety first: Dogs need to be able to swim and get out of the pool (via the ramp- can be tricky) you can take lessons and practice with your dog at events in between jumps for a fee o North American Diving Dog can go for an AKC title do five jumps to get a Novice title ribbons for first and second place o Dock Dogs Norther Star juniors, World Title, Ribbons for #1-6 they float all over o Could invite either to attend one of our events, would need to understand how much it would cost to get them out to our event o If anyone wants more info, contact Bobbi! Vice President s Report (Sharon Todoroff): June Conformation Specialty Show (Anoka Cambridge 2018): Next steps are underway; more information to be presented at the November Meeting. Obedience Specialty Show 2018 update: Taylor and Melissa have been doing a great job moving forward: o Peggy read an update from Committee Co-Chair Taylor Schnichels: plans are for a one-day show with two shows in late February at Animal Inn, and a second one-day show with two shows in summer or fall -potentially also at Animal Inn based on fit. JoAnna Yund and Pat Nevis are judges that are available those days (over 25 judges were contacted) and we also will have food concessions along with perhaps a CGC Test, TDI Test, or Trick Dog evaluations. Peggy passed out a budget estimate created by the committee which showed expenses of o Mike Metz expressed concern about being able to get the entry numbers as he looked at historical entries, which may be a high estimate. Sarah pointed out that if the hypothesis is proven that we are able to convert students to competition more easily because it s where they train and therefore familiar; and if the conformation people enter as some said they wanted to but are never able to because it s on the same day and they can t be two places at once, then maybe those numbers are realistic. o A budget was passed around with expenses of $1,288. Mike made a motion that we approve a budget of $1,500 and if the budget increases by more than 10% would be brought to the membership for approval. Craig Carson seconded. Motion carried.
3 Secretary s Report (Sarah Falk): As Match Chair Sarah presented the August 5 Match Recap o For the Aug. 5 Match, GSDCA Temperament Test and Trick Dog evaluations we profited $233. We did not have a site rental fee as Verna and Virginia allowed us to hold the event at their home. Thank you to them both, there was considerable work involved from them (mowing grass, supplies, garbage removal) even though we didn t enter their home (only site-related fee incurred was the port-a-potty rental of $100). We sent them flowers as a thank-you. Judges expenses included: Travel and lodging for the Temperament Test evaluator only; Obedience and Rally judge was local; the conformation judge is from Oregon but is working on her provisional judges license and wanted to come to MN for experience - so she paid all her expenses (hotel, room, car). Dinner: All judges were invited, the two out-of town judges attended dinner at Mamma Mia s (alcohol was donated by Roger and Linda Salava) and Kelly Foehl attended but paid for her meal. Standard judges supplies included candies/breath mints at ringside and thank-you gifts valued at $20 each. No trophy expenses incurred existing ribbons and trophies were used, thank you Peggy (Trophy chair) Food: broke even as revenue covered food expenses, thank you Laurie (Hospitality chair).
4 o Recommendations for next Match and Temperament Test: Location: If using a member s property, recommend we stay out of the house and use the grounds only as we did here to minimize the host effort (we rented a port-apotty and had food set up in the building; everything except Obedience/Rally/Trick Dog was outside). Rates: Might want to look at charging more for entries. $5 an entry has been the going Match rate for probably 15 years or more if we had to rent a facility for this event we probably would not have broken even- an entry fee increase is advised Marketing: used Facebook, web, and to members, but highly recommend that we send an to recent student s did that this time and it was effective. Students that are current will hear about the Match in class, but recent students who are no longer training with us and are not members should be informed as well- I had two people thank me for the as that is how they heard about it Temperament Test: recommend charging a higher rate ($5 more?) for nonmembers. Sarah offered we could do more to offer benefits to our members where possible so that members are getting a benefit by being members Charitable Requests: o FaerieLand is having a silent auction and fund-raiser on Oct. 21 at 56 Brewing. Sarah moved to donate a block of obedience lessons to the silent auction. Bobbi Smith seconded. Motion carried. Sarah to share event on the Club Facebook page. o Saving Shepherds of Minnesota is having a fund-raiser on Saturday, Sept. 23 at Hansen Kennels as a fundraiser. Funds will also support the J Crew (dog names starting with the letter J) multiple dogs that SSMN is helping are in need of several thousands of dollars in veterinary care before they can be re-homed. Sarah moved we donate a block of lessons to the silent auction. Bobbi Smith seconded. Motion carried. o Lastly was a recommendation to donate to AKC Reunite for Victims of Hurricane Harvey and Irma. Ginny Altman asked the Budget and Finance committee chair (Mike Metz) how much we would donate to the Hurricane relief. Mike said $100. Ginny moved we accept the Budget and Finance Committee chair s recommendation of $100. Mary Bente seconded. AKC Reunite for the Victims of Hurricane Harvey & Irma- Bobbi seconded. Motion carried.
5 Treasurer s Report (Laura Meyer): Monthly update working on the current monthly numbers, have several new member apps and working through recent event updates, so don t have a report but do have balances, will provide details soon, we currently have $44, in Checking $10, in Savings. Budget & Finance Committee Goals (Mike Metz presented): Complete 2017 Event Reviews and Build 2018 Club Budget for Events to be presented to Membership at either the December Potluck or the January Banquet Meeting for the 2018 Board o Have been working all year to understand the budgets and money areas for the Club, all areas and working for Talked about need to have budget for the Anoka Cambridge show next year in a few years. Don t want to be in a position to put out lots of money for multiple trials at the same time that we may not have. o Also looking for multi-year plan and how we move forward or what other avenues do we need think about for the future. Also trying to bring more formal process back to the Club and make it easier for the Committee Chairs. Requesting event budgets for 2018 events to be submitted by November (preliminary). Committee Reports GSD Fun Day (Julie Swinland and Rhonda Meath) Julie & Rhonda shared details, starts at 9 a.m. May rain, dress accordingly. Expenses: Rent is $325, food $200. Will charge $15 each for TDI, CGC, and Trick Dog. Sarah moved to approve a $600 budget for the Fun Day, Bobbi Smith seconded. Motion carried. Agility Trial (Rhonda Meath) September GSDCMSP Agility Trial results Rhonda passed out a recap of agility profit and losses for the past five years and income and expenses, and reviewed the September results netting $1, She stated that now the Budget and Finance committee should have everything they need. Rhonda announced her resignation as Agility Chair. Peggy confirmed Rhonda's resignation and requested that Rhonda provide copies of signed lease contracts for sites and judges, and other event information for the club s permanent records, which hopefully will be provided as requested. The meeting attendees thanked Rhonda for her years of service as committee chair and thanked the Agility committee as well. Thanks to Pam and Taylor! Membership (Cindy Muehlbauer) Membership dues are out! Please remember to pay your trophy pledges, breeders page and sign the breeder s code at the same time as your membership renewal. Once a breeder has signed the club s Breeder s Code of Ethics we do not require anyone to sign every year. New members applicants, welcome to Kendall Chapman and Donnell Crayton, Kelli Best, Jim Hagberg, Amber Eisfeld, Renee Christensen, Cassandra Mondshane, Mia Mannetter, Charlene Dudley, Paula Richards, Philantha Lee and Chris Melcher. Website Bobby stated that she needs event and committee chairs to send her information to post to the website, if she is not provided information she cannot put it on the website. Shep-O-Gram August-September will be out soon. We are currently seeking someone to be able to take over the SOG in its current format. Contact Peggy or Sarah if interested.
